RECEPTIONIST CUM ADMIN – HR OFFICER

1. RECEPTION DUTIES
  • Prepare and schedule meetings when important meetings are required.
  • Welcome clients visiting DIMAC.
  • Answer phone calls and record information of potential clients.
  • Coordinate with visitors/suppliers coming to the office.

2. ADMINISTRATIVE DUTIES
  • Support the Legal Team: create and name new matters when welcoming new clients; scan & digitize documents to close cases after completion; print and submit documents for signatures.
  • Guide employees in using office equipment.
  • Manage office cleanliness, pantry area, regular carpet cleaning, and office plants.
  • Liaise with the building management regarding repairs and maintenance related to office structure.
  • Support data extraction & reporting from 247 and Grab.
  • Support booking air tickets and hotel accommodations for business trips.
  • Decorate the office during occasions such as Christmas, New Year, and Lunar New Year.
  • Work with suppliers regarding drinking water, office stationery, DIMAC-branded items, restocking medicine cabinet, and other necessary purchases.

3. HUMAN RESOURCES DUTIES
  • Contact job posting platforms/social media, post recruitment ads, screen CVs, shortlist candidates, and arrange interviews with potential applicants.
  • Support onboarding tasks for new hires.
  • Assist in preparing internal programs such as:
    • Employee Excellence Award
    • Birthday celebrations
    • HOST & 360°
    • Year-end appraisal
    • Promotions
    • Internal competitions (running club, English presentation, consulting & debate)
    • English Club
    • Submissions for award nominations
    • Annual company trip
    • Firm Anniversary (March 11), Year-end Party
  • Support updating leave records and maintaining HR data and documentation.

4. POSITION REQUIREMENTS
  • College degree or higher.
  • At least 2 years of experience in a similar position.
  • Proficient in English.
  • Proficient in MS Office (Word, PowerPoint, Excel, Outlook).
  • Professional, positive, proactive, careful, and quick-learning attitude.
  • Willingness to learn new things and complete daily tasks thoroughly.
  • Strong “Can-do” spirit with the ability to provide solutions for assigned and arising tasks.
